In short

Who is responsible?

The organisation that creates the trip (for example a travel agency) is the data controller for the data of its travellers and guides. Sawtguide is the processor: we only process that data on behalf of that organisation, to make the app and the dashboard work.

Do you have a question about your own trip or your data? Please contact your travel agency first. You can also email us; we will help you or forward your question.

What data do we use?

Travellers: the trip code, the name you enter (which we compare with the agency's name list), a random device ID that the app creates itself, and your location if you give permission. During the trip the app sends your location about every 30 seconds, and about every 10 seconds while you have pressed "I'm lost".

Guides: the trip code and PIN, the microphone to speak to the group, and the location, so travellers can follow the arrow to the guide.

Organisations (dashboard): the organisation's name, email address, optionally a phone number, and the password (stored only as an encrypted hash). Per trip: the trip name, dates, the guide's name and the list of participants (name and optionally family), as entered by the agency.

Permissions in the app

Location: only while the app is in use, not in the background. You can always turn off location sharing; the server then deletes your location immediately.

Microphone: only for the guide, to speak to the group. Travellers do not use the microphone.

Camera: only to scan your trip's QR code. Images are not stored or sent.

Local network: to connect to the guide's box, so you can listen without internet too.

Notifications: to show playback on the lock screen.

What do we keep and for how long?

Audio: is sent live to the listeners and stored nowhere, not on the box either.

Travellers' location: is kept only in the server's working memory, never on disk. We only keep the latest position, for at most 30 minutes. If you turn sharing off, we delete your position immediately. When the trip is closed, we delete all positions. Only your own guide sees your position; travellers never see each other's position.

Guide's location: only goes to the connected travellers of an active trip.

Trip data and name list: are kept as long as the organisation has an account. A trip that the agency deletes in the dashboard is no longer visible. If you want data to be erased completely, email us.

Organisation account: as long as the account exists. A dashboard login session is valid for 14 days.

On your phone: the app remembers your trip code, name, role and device ID (the guide also the PIN and the name list), so you do not have to enter them again. Delete the app to erase this.

Server logs: like any web server, we keep technical data such as IP address and time, to secure the service and prevent abuse.

No ads, no tracking, no selling

We use no advertising, no analytics or advertising services and no trackers. We do not sell data and do not share it with third parties for their own purposes.

App updates are downloaded via the update service of Expo, the platform the app is built with. Only technical data is sent, such as the app version and platform.

Where is the data stored and how is it secured?

The data is stored on our own server in the European Union. Connections over the internet are encrypted (https). With the box, the phone connects via the guide's local wifi.

Passwords and PINs are stored only as hashes. Only a guide with the correct PIN can broadcast, and after too many wrong attempts logging in is temporarily blocked.

Your rights

You have the right to access, correct or delete your data. Because the agency is the controller, such a request goes primarily through your travel agency. If you email us, we will help you or forward your request.

If you disagree with how your data is handled, you can file a complaint with the data protection authority in your country.
